It is the responsibility of the exhibitor to ensure that their companies in control of stand designs, constructor, employees, exhibition staff, temporary staff or any relevant third party complies with all rules & regulations including the latest legislation regarding health and safety at work.

Removal of exhibits prior to 18.30 hrs on Thursday 9 June 2022 is strictly prohibited.

**Between 19:30 and 20:30hrs, IFEMA will begin the breakdown of the exhibition with the removal of the aisle carpets and safety cables on rigging points. During this time exhibitors & stand builders will not be allowed to occupy the aisles. The usage of forklifts, trolleys and loading bays will not be allowed until after 20:30hrs.

Early Exhibition Entrance

Exhibitors who have applied for early entrance will be able to enter the exhibition 60 mins before official opening hours. 

Maintenance

Exhibitors who wish to work on their booths after opening hours of the exhibition can do so until half an hour after closing time. If the work exceeds this time, there will be a surcharge per exhibitor. Preferably, maintenance should be carried out in the morning between 08:00 – 09:00 hrs. No work will be permitted during the opening hours of the exhibition.

Contractors Maintenance Pass

  • A valid "EAGE Contractors Maintenance Pass" is required for entry to the exhibition hall during maintenance hours. 
  • Stand builders/Contractors who need early access to the exhibition hall for maintenance purposes can collect their "EAGE Contractors Maintenance Pass" at the Helpdesk (Main Entrance) on: 
    • Saturday, 4 June, 14:00 - 17:00hrs; and 
    • Sunday, 5 June, 10:00 - 12:00hrs
  • Each stand builder/contractor company is entitled to a maximum of four (4) passes.  
  • No prior registration is needed for collection of your maintenance pass.

Noise Level

Exhibitors operating sound producing equipment must keep the sound at a reasonable volume, of which a sound level of 60 decibel or more (measured at the corner of the stand) will not be exceeded, in order to avoid disturbing other exhibitors. Public address systems, laser shows, radio broadcasts and other devices used solely to attract attention by sound are prohibited. EAGE reserves the right to regulate and/or restrict any sound.

Distribution of Promotional Material

It is not allowed to hand out any brochures, leaflets, commercial information, gifts or any other material in the aisles or in and around the venue areas, except for the exhibitors’ own stand. 

Photography, Video and Audio-recording

Due to the importance of the technical content, exhibitors must receive prior approval from the EAGE Exhibition Team for any photography, video and/or audio-recording of any activity within the venue. Recording of technical sessions is strictly forbidden.
