It is the responsibility of the exhibitor to ensure that their companies in control of stand designs, constructor, employees, exhibition staff, temporary staff or any relevant third party complies with all rules & regulations including the latest legislation regarding health and safety at work.

Early Exhibition Entrance

Exhibitors who have applied for early entrance will be able to enter the exhibition one hour before official opening hours. The dedicated door that will be used for early entrance for exhibitors will be signposted onsite. In order to have early access to the exhibition you MUST apply for early exhibition entrance; more info can be found on the Registration page.

Maintenance

Exhibitors who wish to work on their booths after opening hours of the exhibition can do so until half an hour after closing time. If the work exceeds this time, there will be a surcharge per exhibitor excl. VAT. Preferably, maintenance should be carried out in the morning between 08:00 – 09:00 hrs. No work will be permitted during the opening hours of the exhibition.

Noise Level

Exhibitors operating sound producing equipment must keep the sound at a reasonable volume, of which a sound level of 60 decibel or more (measured at the corner of the stand) will not be exceeded, in order to avoid disturbing other exhibitors. Public address systems, laser shows, radio broadcasts and other devices used solely to attract attention by sound are prohibited. EAGE reserves the right to regulate and/or restrict any sound.

Distribution of Promotional Material

It is not allowed to hand out any brochures, leaflets, commercial information, gifts or any other material in the aisles or in and around the venue areas, except for the exhibitors’ own stand. 

Photography, Video and Audio-recording

Due to the importance of the technical content, exhibitors must receive prior approval from the EAGE Exhibition Team for any photography, video and/or audio-recording of any activity within the venue. Recording of technical sessions is strictly forbidden.

Copyright

Copyright is regulated in the Netherlands by the Copyright Act (Auteurswet), which provides who is entitled to protection where the copyright in a work of literature, science or art is infringed. Numerous statutory schemes that must be respected by relevant natural and legal persons also exist in relation to patents, drawing and design rights, plant breeders’ rights, marks and trade names (so-called intellectual property rights). In particular, we would refer to the regulations of Buma/Stemra (Dutch Music Rights Organisation) and Sena (the Foundation for the Exploitation of Neighbouring Rights).

Buma/Stemra, Sena and Videma Beside the obligatory licence from Buma/Stemra you also need to apply for a licence from Sena for the use of the same music. The former organisation is responsible for collecting the fees owed to the composer/lyricist, whereas the latter collects the fees for the performer and record producer. If you use copyright-protected music and/or visual material at your stand, this constitutes publication, recording or reproduction. For this you require the prior consent of the author or the copyright organisation of which he or she is a member.

Second Storey stand & stages

For the construction of multi-storey stands and/or stages exceeding 60cm in height, a permit needs to be requested. In principle, the application is submitted online and the ensuing correspondence with the applicant also takes place in digital form. The Licences Officer monitors the process and arranges for the correct and complete filing of all relevant documents. Please refer to the RAI's document on Licences for more information.
