Information for Virtual Presenters

Virtual Oral Presentations

The virtual presentations will be broadcast live in the EAGE virtual portal. This portal will be open to all presenters and registered attendees at least one week before the event. 

All presenters will receive login details to the portal to attend the full conference, as well as an invitation to join their specific session as a presenter. Prior to the conference, you will receive further details about what you can expect during the session as well as during the live Joint Q&A session. Please read the instructions carefully! 

Make sure to join the session you will present in 15 min. before it starts, to familiarize yourself with the online system. Your pre-recorded video will be streamed during the indicated time slot. There will be a Joint Q&A session, at the end of each session. Each speaker will have approximately 5 minutes for questions (10 min. for Keynote presenters). The session chairs will put questions to you submitted by the audience.


Pre-record Your Video Presentation

We ask all presenters to submit a pre-recorded video presentation by Monday, 5 April 2021 at 23:59 (CET).

You can use the video as a recommendation, however you can use any recording platform that you are familiar or comfortable with. 

It is strongly recommended to rehearse your presentation before recording, and review the recorded video before submitting it. Once submitted, the video cannot be changed. 

Permissions

When confirming your presentation you will be asked to grant certain permissions to the organisers:

Question 1: Do you agree to your presentation being included in a livestream of the event?

  • This gives us permission to live stream the presentation to participants registered virtually.

Question 2: Do you agree to your presentation being recorded and shared with participants after the event?

  • This gives us permission to make a recording available after the live event for a limited time to persons who are registered for virtual attendance but are in another timezone where it is not possible to view the virtual stream live.
  • Persons will need to have a paid registration to access the online portal and we will make the post-recorded version of the workshop available until Friday 6 May 2021.


Presenter Name Confirmation

You are hereby requested to complete the Presenter Name Confirmation form by 15 March 2021. If you are unable to give your presentation, then please inform us as soon as possible but ultimately 15 March via the Presenter Name Confirmation form. 

If you will not be the presenter of the presentation(s), please kindly provide us with the contact details of the replacing presenter in the Presenter Name Confirmation Form through the above link.


Technical Discussion

An integral part of a technical presentation is the technical discussion at the end of the presentation. The author should be prepared and able to discuss their paper with their peers in the audience during the Live Joint Q&A session. The discussion will be facilitated by the session chairs.

If a speaker is not able to come to the event to present their own paper, they may be represented by one of their co-authors. Again, to enable a meaningful technical discussion, the alternative speaker should be familiar with the presented work and its background. The speaker should inform the EAGE office before 15 March 2021 to indicate this.

If the alternate speaker is not familiar with the work and this becomes clear in the discussion, this could lead to rejection of future papers at EAGE events by both the original and the alternate speaker.
