Submission instructions for the workshop programme

Anti-Plagiarism Statement 

EAGE invites the presentation of new and original material in a range of multi-disciplinary topics in Geoscience and Engineering. The EAGE takes plagiarism very seriously. Therefore, if an extended abstract or paper, after careful review, examination and consideration, is rejected on the basis of plagiarism, ALL authors of the abstract/paper will be denied the opportunity for further abstract submissions for the following three years. Note that this means that NO abstracts/papers from ANY of the authors (as author or co-author on subsequent papers) will be accepted for ANY EAGE event (Annual Meeting or Workshop) for a period of three years starting on the date of the event for which the paper was originally submitted.  

Publication 

The accepted (extended) abstracts are published on EarthDoc, which is an official EAGE publications database. Badly written (extended) abstracts not only reflect poorly on the authors, but also on the association. Many more people read the accepted (extended) abstracts than those attending the presentations. Therefore, EAGE will only consider properly written and informative (extended) abstracts that are submitted in line with the template instructions. 

Authors are encouraged to submit their material for publication in one of the journals of the association. Acceptance for the workshop programme does not guarantee acceptance for publication in one of the journals. 

Cancellation information 

In case authors want to withdraw their abstracts, please adhere to the following deadlines: 

  • Withdrawal of accepted presentations before 1 April 2019: your presentation will be removed from the Programme & Catalogue (P&C) and the related (extended) abstract will not be uploaded to EarthDoc. 
  • Withdrawal of abstracts/presentations after 1 April 2019: your (extended) abstract will not be removed from the P&C as that has been taken into production by then. The related (extended) abstract will not be uploaded to EarthDoc. 
  • Only (extended) abstracts that have been presented will be/remain available on EarthDoc. If the presentation has not been given, the related (extended) abstract will be removed, before or after the event. Therefore, both withdrawn presentations and ‘no-shows’ will be removed! 
  • Please keep in mind that cancellations of presentations after 1 April 2019 are considered as a no-show and you risk being disqualified from presenting at all EAGE events for the next 3 years. 
Note: EAGE cannot be held liable for any loss, damage, direct, indirect or consequential damage as a result of withdrawal, removal or non-removal of the abstract in any way. 

Selection Process 

The Workshop Committee will consider all (extended) abstracts submitted to the EAGE Head Office by the 27 February, and authors will be notified by late February 2019 of the status of their submission. 

The submitted abstracts must be relevant to the workshop topics. Authors are required to indicate the workshop for which their (extended) abstract should be submitted for. 

Presentations 
EAGE cannot make any contributions toward coverage of expenses relating to the presentation. 

Layout of (Extended) Abstract: 

Titles should be relevant and short. 
The cover page will consist of the title, the author(s) and affiliations, and the summary. 

The summary of the (extended) abstract (max. 200 words) will be copied/pasted from the online submission module to the cover page. (Extended) abstracts must be in English, original and not have appeared in any other publication. 

The body of the (extended) abstract needs to be up to four (4) full pages in length, paper size A4, depending on the requirements communicated by the specific workshop conveners. The (extended) abstract should consist of text and appropriate figures supporting the key message. For abstracts of 2-4 page, the text should contain at least one figure and references. Pages of text alone are unacceptable. 

Please do not use more than 1 column for text, do not frame the text, and please upload the body of your (extended) abstract as one document with embedded figures. Smaller figures may be placed in 2 columns. The caption of these figures may be placed in 2 columns as well but may also be placed in 1 column (alignment justified). 

A good (extended) abstract set in the workshop template (size: 2 MB) consists of an introduction, the main description of theory or method broken down as appropriate and illustrated with figures, conclusions, optional acknowledgements and references. It should reflect work that is actually completed at the time of submission and not plans or ideas that are still taking shape in the mind of the author or research that is still highly immature. 

The (extended) abstract must concentrate in itself the essential information of the presentation: purpose, methods, results and conclusions. It should be an abbreviated, informative, accurate representation of the presentation and not a mere recital of the subjects to be covered. 

Template usage: 
• 4 full pages, A4 size [applicable to extended abstracts only!]; 
• Within mandatory template; 
• Do not modify header, footer or font size of the template; 
• Do not include the title in the 4 pages of the (extended) abstract; 
• Do not include the summary in the pages of the (extended) abstract; 
• Use font ‘Times New Roman 11pts’ with single line space and use the standard Word outline level (body text); 
• Start the body text of your (extended) abstract directly under the event logo; 
• NO additional empty lines to fill up the page; 
• Margins 2.54cm on all sides (1”); 
• Including at least 1 graphic/figure; 
• Including references; 
• Printed to PDF (not saved). After printing, ensure the paper size is still A4. Remark: when printing from MS Word, ensure the option ‘Scale content for A4 or 8,5 x 11” paper sizes’ is unmarked. This option is available in the Advanced settings of the document (File → Options → Advanced); 
• Ensure that the PDF-paper size is still A4 after printing.

The lay-out of the references should be consistent with the style guide for references in the First Break guidance for authors. Please ensure every citation has a reference and vice versa. 

Number the figures sequentially, according to their appearance in the text, and check that each figure is cited in the text. 

Supply a short caption for each figure; more detailed discussion of the figure can be reserved for the text. Further information about the use of figure captions and figure numbering can be found in the First Break guidance for authors

Uploading your abstract

Your (extended) abstract will be uploaded in several steps using the online submission module. The (extended) abstract must be uploaded using the template. Download the LaTeX version of the template here
Please note that the uploaded document must be a PDF document. From Word, print to PDF using your preferred PDF printer (do not use 'Save as Adobe PDF'). From LaTeX, follow the instructions in the template. Please make sure the file is not protected. 

Important changes 

Your (extended) abstract will be checked against the requirements by the workshop conveners. If your (extended) abstract does not meet the requirements, you will be notified via email. 

Important change: kindly note that changes after the submission deadline are only possible if your (extended) abstract does not meet the requirements and the status is set to ‘Revision required’. Any other changes are no longer possible. If circumstances require that a revision must be uploaded, please send an email to abstracts@eage.org so they can inform you of the options. 

Unfortunately, we cannot accommodate email requests to manually upload revisions. 

If the uploaded (extended) abstract is not in PDF, it will not be accepted by the portal and the submission cannot be completed.
