Presenter Guidelines 

We are glad to have you sharing your knowledge at one of our events! Please find below all useful information to help you prepare for your presentation. 

To ensure the success of the forthcoming conference and to satisfy the high expectations of the delegates, it is important that speakers adhere to certain standards and guidelines. These are explained in the following pages and we kindly request that you read them carefully. 

As a presenter, you are going to communicate the result of your work. In doing so, you should consider carefully who your target audience are and what is of interest to them. It should be kept in mind that most delegates are practicing geoscientists who expect to leave the conference with new ideas and developments that are applicable in their respective business activities.

Additionally, the amount and detail of information that can be communicated in a 20 minutes presentation is very limited. This means that complexities, detailed derivations and involved arguments will fail to reach your audience. Simple statements and illustrations are easier to understand, and these must convey the essence of your presentation.

Commercialism

EAGE does not permit presentations that are commercial in tone. We strongly prefer, in order to preserve the academic nature of the technical programme, that presenters limit the use of company or professional logos to the first and last slides of the presentation. Company slide templates may not be used. No product names or trademarks may be used. The Programme Committee reserves the right to refuse permission to display any presentation slides considered as commercial in nature.


Registration

All presenters are entitled for early bird rate. Please register for the conference before 30 October 2021. Please find the updated virtual fee from our website


Cancellations

You are hereby requested to complete the Presenter Name Confirmation form by 15 October 2021. If you are unable to give your presentation or if you will not be the presenter of the presentation(s), then please inform us as soon as possible and kindly provide us with the contact details of the replacing presenter in the Presenter Name Confirmation Form through the above link.

If you will not be the presenter of the presentation(s), please kindly provide us with the contact details of the replacing presenter. (Please note that failure to do so will be considered as a no-show and will disqualify you from presenting at all EAGE events for the next 3 years.) 


Virtual Oral Presentation Format 

The virtual presentations will be broadcast live in the EAGE virtual event portal from 29 November to 2 December 2021. All presenters will receive login details to access the InEvent portal. 

On the event day itself, you are invited to join the a dedicated time slot for the Q&A session. Make sure to join your session 30 minutes in advance to work on video framing and audio testing. 

Prior to the conference, you will be required to attend a speakers' rehearsal to familiarize yourself with the virtual event portal. 

The session will consist of:

  • Pre-recorded Presentations 
  • Live Q&A 
  • Session Flow

All presentations must be in English and should follow the ‘Professional and Ethical standards’ as stipulated in article XVI of EAGE’s By-laws

Presentation Portal

Once you are logged in, you will enter the Virtual Lobby. Please note that only sessions that are currently taking place can be attended, it is not possible to enter a session before it officially starts.

To attend a session, please select the date in the Virtual Lobby and select the session. 

Attending a session as a:

• Delegate: your microphone will be muted and camera switched off by default. Please participate by submitting questions on the "Questions" tab.

• Presenter: you will appear on the main stage and your microphone and camera will be switched on. The chair of the session will welcome and introduce the presenters. Please ensure to mute your microphone when it's not your turn to speak.

Please note: 

  • Connectivity - Google Chrome is advised as web browser. Please ensure you have a strong internet connection. This is very important as some work computers may have different settings that may interfere with your user experience
  • We advise to always stay in the "Control Room"
  • Please keep in mind that switching to the "Live Preview" will show you the delegates' view and there is a 20 seconds delay between your presentation and delegates view
  • We advise you to always remain in the "Control Room" during your session
  • When presenting, we recommended you to use a headset for the best user experience for you and the delegates


Technical Discussion / Live Q&A 

There is a joint Q&A after each session, all presenters are requested to attend this live session. The author should be prepared and able to discuss their paper with their peers in the audience during the dedicated slot. The questions will be submitted by live attendees in written form only. The discussion will be facilitated by the session chairs. 

If a speaker is not able to come to the event to attend the Q&A session, they may be represented by one of their co-authors. Again, to enable a meaningful technical discussion, the alternative speaker should be familiar with the presented work and its background. The speaker should inform the EAGE office before 15 October 2021 to indicate this.

If the alternate speaker is not familiar with the work and this becomes clear in the discussion, this could lead to rejection of future papers at EAGE events by both the original and the alternate speaker.


The structure of a good presentation is as follows:

  • Define the subject, give a general outline and state the goals of your presentation in your introduction
  • Work out your presentation in more detail
  • Summaries and draw conclusions, which refer to your introduction
  • Limited number of slides (10 – 15 slides)
  • Prefer Calibri or Arial in font size not smaller than 24 pt
  • Use dark text on light background or light text on dark background. 
  • Do not use ALL CAPS except for titles

IMPORTANT: Your presentation will be recorded by the virtual event portal to allow registered participants access to the on-demand version after the live event. The content of your presentation should not contain confidential and sensitive information; you may include a disclaimer slide with a mention that you or your organization are not liable to actions or losses derived from any of the information presented. Kindly note that EAGE will also not be liable if participants recorded your presentation as we have no control virtually.

Oral Presentation: Please submit the 20-min pre-recorded video by 10 November 2021.

Poster Presentation: Please submit the 10-min pre-recorded video by 10 November 2021.

Tips of Recording

  • Getting Started: 
    • Create your content slides in PowerPoint.
    • Open slides in full screen mode / slide show mode. 
  • Audio Tips: 
    • Use a microphone and test audio before recording. 
    • Record the presentation in a quiet place. 
    • Speak clearly into the mic to ensure your audio volume level is of good quality. 
    • Playback your recording to ensure the output volume is clearly audible. 
  • Save Format:
    • Use PowerPoint to record your presentation and export a MP4 (Voice over PPT)

You can use the video as a recommendation, however you can use any recording platform that you are familiar or comfortable with. It is strongly recommended to rehearse your presentation before recording, and review the recorded video before submitting it. Once submitted, the video cannot be changed. 


Online Programme

The Technical Programme is subject to change, therefore please check the online programme. This virtual event will be held in the local timezone (Vietnam, UTC +7).
