Recommendations for Oral Presenters

1. GENERAL INFO

The conference will be held fully online in our Virtual Event Portal. This portal is now open to all presenters and registered attendees. 

1.1 Login to the Virtual Event Portal

To login to the online portal to see the conference timeline, you will need to use your email address (username) and Pin code (see "Be well prepared.." email). These details have been provided to all registered participants prior to the start of the conference.

As an oral presenter please make sure to join your session 15 min prior to the start of the session (during the Break prior to your session).

To join your session you can click the "Join as panelist" button inside your session preview, OR you can click the "Join Webinar" button that is in your GoToWebinar panelist invitation with the session name (sent by EAGE Events).

1.2. Time Zones

Please note that all timings in our website and PDF Programme are in British Summer Time (BST) / GMT+1. The only place where you can choose your browser time zone is in your "settings" of the Virtual Event Portal. If you choose this option on the Portal, please make sure to take this difference in timings into account when attending the sessions.

1.3. Refresh Browser

If you cannot see the session anymore or if you are having challenges with your audio please refresh your browser or try to sign-out and to sign back in.


2. PREPARE FOR THE PRACTICE SESSION (9 or 10 SEPTEMBER)

  • Download the GoToWebinar desktop app as soon as you receive the first "panelist invitation"

  • Join the session at least 15 min. before it starts

  • Join the session using the GoToWebinar panelist invitation that you have received from "EAGE Events" 

  • Read the Participants page


3. ORAL LIVE Q&A PRESENTATIONS (14-17 September)

3.1. IMPORTANT FOR LIVE Q&A (15 min)

  • Download the GoToWebinar desktop app as soon as you receive the first "panelist invitation"
  • Join your session 10-15 min before it starts (during the Break), to meet the session chairs
  • Have your PPT or PDF presentation open on your screen to share if needed
  • Share your video and audio only when you are presenting
  • Please make sure to limit the overview/highlight talk to 5 min. only
  • After your highlight you have 10 min. for Q&A
  • The session Chair will read out loud the questions for you to answer
  • If you do not understand the question please ask to repeat

Please make sure you only have the GoToWebinar desktop app when you are going to present and either close the Virtual Event Portal or "Go back to the timeline" to avoid interference between the two online systems.


3.2. PRESENTER CHECKLIST

  1. Do have enough sleep the night before. Consider eating and visiting the bathroom prior to the event. Prepare a bottle of water, make sure it's on a safe distance from your laptop.
  2. Have a ‘clean’ desktop. Close all applications except what you’ll need e.g. presentation slides or website pages.
  3. Make sure you’re in a quiet place where there won’t be much background noise or interruptions (e.g. a ringing office phone)
  4. Click on the Join the webinar link 10-15 minutes before the appointed time to get set up
  5. Run a check-up test of your audio levels: It is preferable to use the same setup during the entire event. It's recommended to use a headset with an integrated microphone (like this, or this) unless you’re in a completely noise-free area – the sound quality for other participants will be so much clearer that way. If you are using a wireless device, make sure it's charged. 
  6. Run a check-up test of your video quality as well. Be sure to be visible and well positioned as well as illuminated properly: be sure to have a source of light (windows, bulbs etc.) in front of you or slightly from the side, try to align your face parallel to the webcam, if the laptop is too low you can place some books underneath to raise it a little, rather than tilting the screen.
  7. Make sure you’re on full screen presentation mode and participants are seeing the correct view 
  8. To look better on video try not to touch your face, hair. Consider limiting your gestures reasonably.
