Audiovisual Equipment

Audiovisual equipment can be ordered through Gielissen's webshop. Gielissen will email login details to the exhibitors, you can always contact them at eage@gielissen.nl.

Badge Scanner

We offer you Lead Management in the form of a Badge Scanner; simply scan the delegate badge with an app on your own mobile device. The contact details of the delegate will be captured and saved. The app comes with an online platform where the captured data can be downloaded into an excel file. 

But there is more! If you would like to, you can:

  • Configure an email that is automatically send to the delegates once their badge is scanned
  • Emails can be automatically sent as an alert to for instance a colleague in your office to immediately follow up
  • Create questions that can be answered once a badge is scanned. These details will also be saved in the online platform and can be downloaded to the excel file

Business Centre at the RAI Amsterdam

The following services are provided:

  • Prints (posters, reports, flyers, business cards)
  • Offset print
  • Document copying
  • Scanning
  • Laminating
  • Document binding
  • Desktop publishing
  • Graphic design
  • Large format plotting
  • Printing and form cutting specific materials, such as cardboard, foam board, forex, magnetic plates, wood, tiles (to a thickness of 4.7 cm)

The RAI business centre is located in the underground passage way of the Elicium building, entrance D, level -1.

Carpet and Floors

Carpet is included in the Booth Package stands, and the colour can be selected through Gielissen's webshop (opening soon).

Note that there are special rules for raised floors!

Catering

During show days there will be coffee points on the exhibition floor with complimentary coffee, tea & water. There are catering outlets throughout the venue (lunch is not included in the delegate fee). 

During the Icebreaker Reception on Monday 14 June 2021 delicious finger food and drinks will be offered free of charge. 

Exhibitor catering 

RAI Amsterdam Catering is the exclusive caterer. Catering orders can be made through the RAI's webshops. The RAI will email login details to the exhibitors, you can always contact them at exhibitorservices@rai.nl

Exhibitors are not allowed to sell food and drinks at their booths. Any drinks must be served in disposable containers and purely as hospitality to a prospective customer and may not be made available to the passing public.

Cleaning

Stand cleaning is included and contains:

  • Booth cleaning before the show
  • Daily booth cleaning
  • Emptying waste baskets
Cleaning will be done each day before opening of the show. Please note that this does not include cleaning of exhibits or other stand surfaces.
 
Ordering additional cleaning is possible

Company Profile

All exhibitors have the opportunity to complete their company profile. All details will be immediately visible in the online exhibitors list, so do not wait too long and complete your company profile today.

Your completed company details will be included in:

  • The online exhibitor list,
  • The EAGE Annual 2021 mobile app,
  • The Programme & Catalogue (excl. 100 word profile).

The deadline for completing and/or updating your company profile is 1 August 2021. After this date your changes will only be visible online.

Further information about how to complete your company profile will be shared with you shortly. 

Decal

To increase you corporate profile and image on the show and your stand, EAGE offers the opportunity to order Decals; these are stickers around your stand that we will place on the aisle carpet. The decals can only be placed connected to your stand. For more information and proposals please contact us at exhibition@eage.org

Drawing Approval 

All "Space Only" exhibitors MUST submit a copy of their stand design to the EAGE Exhibition Team for evaluation and approval no later than 15 August2021. Please submit a clear sketch with measurements and scale floor plan (in meters), or a model plus scale drawing. This information should contain the name, address and contact details of the stand building contractor. Failure to provide a stand design for approval will result in the exhibitor not having permission to build. Without an approval you will not have permission to build up your booth.

The approved construction height is 250 cm, including raised platforms. 

"Booth Package" exhibitors exceeding the 250 cm height maximum MUST also submit a copy of their stand design to the EAGE Exhibition Team

Applications for approval need to be sent in no later than 15 August 2021. Without approval, you will not have permission to build your booth. RAI Amsterdam and EAGE Conferences BV reserve the right to stop booth construction at any time for any stand not fulfilling all rules specified in the Rules & Regulations section of this website.

Electricity

Electricity in the exhibition hall is supplied from ducts in the floor.

It is prohibited to carry out any electrical works at the venue. Stands can be connected to the building's electricity mains by the electricians officially appointed by the organisers: Gielissen. 

"Space Only" exhibitors can order their electricity separately through Gielissen's webshop. Gielissen will email login details to the exhibitors, you can always contact them at eage@gielissen.nl.

Each "Booth Package" stand includes a main connection including one socket outlet of with minimum electrical consumption. 

Electricity will NOT be available 24 hours a day, but will be switched on from 1 hour prior to the show opening until half-an-hour after the show closes. Continuous power can be ordered through the Gielissen webshop (opening soon).

Exhibitor Service Desk

During build up, the show and break down an Exhibitor Service Desk will be onsite to answer all your questions and assist you with your booth requirements. The location of the Exhibitor Service Desk will be mentioned here in due course and signposted onsite.

Fascia and Logo

"Booth Package" exhibitors have to complete their fascia text through Gielissen's webshop. Gielissen will email login details to the exhibitors, you can always contact them at eage@gielissen.nl.

Floral Decoration

Floral decorations can be ordered through the Gielissen webshop (opening soon). 

Freight

Neither EAGE Conferences BV nor RAI Amsterdam can accept deliveries on an Exhibitor's behalf. Please refer to freight forwarder Meritex International Ltd and these shipping instructions.

Furniture

Furniture can be ordered through Gielissen's webshop. Gielissen will email login details to the exhibitors, you can always contact them at eage@gielissen.nl.

Graphics

Gielissen offers multiple options for stand graphics. More information can be found on Gielissen's webshop. Gielissen will email login details to the exhibitors, you can always contact them at eage@gielissen.nl.

Hostess Service

If you are interested in hostess service, you can arrange for hospitality staff for your stand through Kronenburg, our official supplier for the EAGE Annual 2021.

Parking

RAI Amsterdam has ample parking available. The multi-storey car park is easily accessible thanks to its location next to the A10 motorway by Exit 9. The RAI is signposted on road signs on the ring, which will become visible after approaching Amsterdam from the A1 motorway (Amersfoort/Amsterdam), the A2 (Utrecht/Amsterdam) or the A4 (Den Haag [The Hague]/Amsterdam). PERMITS & LICENCES 

Copyright

Copyright is regulated in the Netherlands by the Copyright Act (Auteurswet), which provides who is entitled to protection where the copyright in a work of literature, science or art is infringed. Numerous statutory schemes that must be respected by relevant natural and legal persons also exist in relation to patents, drawing and design rights, plant breeders’ rights, marks and trade names (so-called intellectual property rights). In particular, we would refer to the regulations of Buma/Stemra (Dutch Music Rights Organisation) and Sena (the Foundation for the Exploitation of Neighbouring Rights).

Buma/Stemra, Sena and Videma Beside the obligatory licence from Buma/Stemra you also need to apply for a licence from Sena for the use of the same music. The former organisation is responsible for collecting the fees owed to the composer/lyricist, whereas the latter collects the fees for the performer and record producer. If you use copyright-protected music and/or visual material at your stand, this constitutes publication, recording or reproduction. For this you require the prior consent of the author or the copyright organisation of which he or she is a member.

Second Storey stand & stages

For the construction of multi-storey stands and/or stages exceeding 60cm in height, a permit needs to be requested. In principle, the application is submitted online and the ensuing correspondence with the applicant also takes place in digital form. The Licences Officer monitors the process and arranges for the correct and complete filing of all relevant documents. Please refer to the RAI's document on Licences for more information.

Photography, Video and Audio-recording

Due to the importance of the technical content, exhibitors must receive prior approval from the EAGE Exhibition Team for any photography, video and/or audio-recording of any activity within the venue. Recording of technical sessions is strictly forbidden.

Rigging

Rigging in the hall is allowed and needs to be arranged through Gielissen's webshop. Gielissen will email login details to the exhibitors, you can always contact them at eage@gielissen.nl.

Second Storey Stands and Raised Exhibits

The approved construction height is 250 cm, including raised platforms. 

The stand design of stands with two or more storeys and raised exhibit areas, must fulfill all rules & regulations and a permit must be requested. Refer to the Rules & Regulations page for further information. 

Without an approval and permit you will not have permission to build your booth. RAI Amsterdam and EAGE Conferences BV reserve the right to stop the building work at any time.

Security

The restricted EAGE areas are only accessible with correct accreditation. General day and night security will be provided during build-up, show days and break-down opening hours. It is each individual exhibitor’s responsibility to secure their booth and property.

Shell Scheme Additional Walls & Fittings

Shell scheme additionals can be ordered through Gielissen's webshop. Gielissen will email login details to the exhibitors, you can always contact them at eage@gielissen.nl.

Space Only Booth

Have you booked a "Space Only" stand and you are looking for a stand builder? Gielissen is pleased to make you an offer, contact them eage@gielissen.nl.

Storage

If you require storage during the exhibition, please contact Meritex, the official freight forwarder. It is forbidden to store packing materials in the exhibition hall.

Upgrade the Booth Package Stand

Gielissen is pleased to offer options which slightly change your Booth Package stand and will distinguish your stand from the regular stands. Please contact them at eage@gielissen.nl for more information. 

Waste Removal 

Exhibitors are responsible for arranging the disposal of their refuse during build up, break down and during the opening hours of the exhibition. This includes plastic that needs cutting away after build up.

On Monday 18 October 2021 at 13:00 hrs, stands and aisles must be clear of all refuse. Any refuse left after build up will be charged to the exhibitor.

Water 

Water connections can be arranged through Gielissen's webshop. Gielissen will email login details to the exhibitors, you can always contact them at eage@gielissen.nl.

The use of wooden platforms is recommended for stands with water connections. Note that rules apply for raised floors; please have a look at the Rules & Regulations page of this exhibition manual.
