Presentation Information

For all accepted presenters a presentation is required.

All on-site presenters are expected to give a live presentation, while for the online presenters a video presentation is required.

On-site presenters are welcome to send a (summary) video presentation if they wish, which will be kept as a back up, but it is not mandatory.

The length of the video presentations differs between poster and oral presenters (see below).

For All Presenters

Presenter Name Confirmation

All presenters are requested to complete the Presenter Name Confirmation form by 15 July 2021.

If you would like to withdraw your presentation or will not be able to present but have a replacement presenter, please kindly provide us with the necessary details through the Presenter Name Confirmation Form above.

Technical Discussion

An integral part of a technical presentation is the technical discussion at the end of the presentation. The author should be prepared and able to discuss their paper with their peers in the audience during the last 5 minutes of the time slot. The discussion will be facilitated by the session chair.

If a speaker is not able to come to the event to present their own paper, they may be represented by one of their co-authors. Again, to enable a meaningful technical discussion, the alternate speaker should be familiar with the presented work and its background. 

If the alternate speaker is not familiar with the work and this becomes clear in the discussion, this could lead to rejection of future papers at EAGE events by both the original and the alternate speaker.



Video Presentations for Online Presenters

On-site presenters: Submitting a video presentation is welcomed but not mandatory. 

ORAL

  • 15 minute video presentation; this leaves 5 minutes for Q&A;
  • Use the conference power point template to create presentation slides;
  • Save the video with the following name: "PaperNumber_FirstName_LastName" (the paper number can be found in your acceptance email);
  • Save the file in video format (e.g. mp4, m4v, mkv, etc.);
  • Upload/drop your file here.

POSTER

  • 5 minute video presentation;
  • Use the conference power point template to create presentation slides;
  • Save the presentation with the following name: "Poster_PaperNumber_FirstName_LastName" (for the paper number see your acceptance email);
  • Save the file in video format (e.g. mp4, m4v, mkv, etc.);
  • Upload/drop your file here.
    Note: The online poster session will be announced at a later stage and the setup will depend upon participation. 

Pre-record your video presentation

  • Use the conference .ppt template for all parts of your presentation (cover, main body).

  • In the title slide, make sure to insert your name (any co-author names - optional) and presentation title but refrain from adding logos and/or modifying the design.

  • Sent your presentation file in video format (mp4, m4k, mkv). Other formats, e.g. ppt with audio, will not be accepted.
  • Submit your video presentation by 31 July 2021, CEST.

Please check your pre-recordings before uploading them to the system to ensure that both audio and video are good. You can also ask one of your co-authors or colleagues to check this for you.

NOTE: For on-site presenters, a video presentation is welcome but not mandatory. Nevertheless, we strongly advise you to submit a recording in case there is an immediate need to change the format of the sessions in the weeks leading up to the event.

Name convention for the video(s)

  • "PaperNumber_FirstName_LastName" (oral)
  • "Poster_PaperNumber_FirstName_LastName" (poster)

E.g. "1_John_Smith"  OR "Poster_1_John_Smith"

Please use this naming convention for your videos and do not use other names. If you use another name, your video may be uploaded in the incorrect location.

Important remarks

  • The videos will be uploaded to an online video platform with restricted access. This platform does not support power point presentations with recorded audio;
  • Please do not include your company logo or name on the cover slide of the template. Logos may be used in moderation in the body of your presentation and the end slide.

Cancellations

Should you be unable to give your presentation, please notify us by email (abstracts@eage.org) before 15 July 2021. 

 Withdrawal of abstracts before 15 July 2021: your abstract will be removed from the technical programme and EarthDoc. 

Cancellations of presentations after 15 July 2021 without brief explanation will be considered as a no-show and you risk being disqualified from presenting at all EAGE events for the next 3 years. 

Please note: EAGE cannot be held liable for any loss, damage, direct, indirect or consequential damage as a result of withdrawal, removal or non-removal of the abstract in any way.
